1. Who is responsible for your information

TheGreatEscape is independent from PureGym. PureGym is not responsible for TheGreatEscape’s handling of client information.
2. Information we collect
Depending on your relationship with TheGreatEscape, we may collect:
- Identity and contact information, including name, email address, telephone number, and billing details.
- Booking, attendance, payment, subscription, invoice, and cancellation records.
- Health and fitness information, including PAR-Q or screening answers, injuries, medical conditions, medication relevant to exercise, pregnancy information, mobility, body measurements, exercise history, goals, progress, and training performance.
- Coaching information, including programmes, check-ins, nutrition-related information you choose to provide, progress photographs, messages, and trainer notes.
- Technical and usage information supplied by the services used to run the business, such as Stripe, website hosting, Lnk.Bio, email, calendar, or communications platforms.
- Marketing preferences, enquiries, feedback, and complaint records.
We do not receive or store your complete card number. Stripe handles payment-card information under its own privacy and security arrangements.
3. Why we use information and our legal bases
We use personal information to:
- Provide, personalise, schedule, administer, and improve coaching services; manage subscriptions and payments; and communicate about the service. The usual legal basis is performance of a contract or taking steps at your request before entering a contract.
- Maintain financial, tax, safety, dispute, and business records. The basis may be legal obligation or legitimate interests in operating and protecting the business.
- Screen for exercise safety and adapt coaching. Health information is special-category data. Where required, we rely on your explicit consent in addition to an Article 6 lawful basis. You may withdraw consent, but this may mean we cannot safely continue coaching.
- Send direct marketing where you have consented or where another lawful basis is available. You can opt out at any time.
- Prevent fraud, keep systems secure, respond to complaints, and establish, exercise, or defend legal claims. The basis may be legitimate interests or legal obligation, as applicable.
We do not use health information for unrelated advertising and do not sell personal information.
4. How we collect information
We collect information directly from you through discussions, forms, Stripe checkout, email, messaging, telephone, bookings, and coaching sessions. We may also receive limited information from a referrer, emergency contact, venue, or service provider where appropriate and lawful.
The website’s enquiry builder prepares a message within your browser. Its fields are not submitted to a TGE server. When you choose to open WhatsApp, the prepared message is passed to WhatsApp; you must press Send there to send it to Glenn. Please do not include medical details in the enquiry builder.
5. Who we share information with
Information may be shared only as reasonably necessary with:
- Stripe for payments, subscriptions, invoices, fraud prevention, and related support.
- Lnk.Bio and website hosting or form providers used to present information and collect enquiries.
- Email, messaging, calendar, cloud-storage, accounting, and professional-adviser providers.
- PureGym or emergency services where necessary for access, incident response, safeguarding, or urgent health and safety matters.
- HMRC, regulators, courts, law enforcement, insurers, or advisers where required by law or reasonably necessary to protect legal rights.
These recipients may act as processors or independent controllers under their own terms and privacy policies.
6. International transfers
Some service providers may store or process information outside the United Kingdom. Where UK data-protection law requires it, we use providers that apply an approved transfer mechanism and appropriate safeguards. You may contact us for more information about relevant safeguards.
7. How long we keep information
We keep information only as long as reasonably needed for the purposes described above:
- Enquiries that do not become clients: normally up to 12 months after the last meaningful contact.
- Core client, contract, payment, attendance, and service records: normally up to six years after the client relationship ends, where needed for tax, accounting, insurance, complaints, or legal claims.
- Health, screening, training, and progress records: reviewed when coaching ends and retained only for as long as reasonably necessary for safety, insurance, complaints, or legal claims, normally no longer than six years unless a longer period is justified.
- Marketing information: until you opt out or the information is no longer needed. A minimal suppression record may be retained so we respect an opt-out.
Different periods may apply where law, safeguarding, insurance, a dispute, or a legal claim requires this.
8. Security
We use reasonable technical and organisational measures to protect information, including access controls, strong authentication where available, limited access, secure service providers, and appropriate device and account security. No system is completely risk-free, but suspected breaches will be assessed and handled in accordance with applicable law.
9. Your rights
Depending on the circumstances, you may have the right to:
- Be informed about how your information is used.
- Request access to your personal information.
- Ask for inaccurate or incomplete information to be corrected.
- Ask for information to be erased.
- Ask us to restrict processing.
- Object to processing based on legitimate interests or to direct marketing.
- Receive certain information in a portable format.
- Withdraw consent at any time where processing is based on consent.
- Complain to the Information Commissioner’s Office.

10. Marketing
Marketing messages will identify TheGreatEscape and provide a way to opt out. Service messages about bookings, safety, payments, subscriptions, or material changes are not marketing and may still be sent where necessary to perform the contract or meet legal obligations.
11. Children
Services are not directed to children without appropriate parent or guardian involvement. Where a person under 18 is accepted for coaching, we will seek suitable consent and minimise the information collected.
12. Third-party links and services
Payment links, Lnk.Bio, Google Calendar, WhatsApp, social-media pages, and other third-party services have their own privacy information. TheGreatEscape is not responsible for third-party processing that falls outside its control.
13. Changes to this policy
We may update this policy to reflect changes in services, providers, or law. The current version will be published online, and material changes will be communicated where appropriate.

15. This website
This version does not include analytics trackers or set cookies through its own code. Enquiry details are not saved to browser storage. The hosting service may process technical request information to deliver and secure the website. External services linked from the website operate under their own privacy and cookie policies.
